Client Service Representative
Position Purpose
Reporting into the Practice Manager, the Client Service Representative (CSR), provides an exceptional experience to our clients during every interaction. In addition to continually engaging the client, the CSR performs practice administrative tasks such as record maintenance and appointment tracking. The CSR manages practice reception (visitor and telephone), maintenance of veterinary medical records, accounts maintenance, cash processing, data entry, word processing and mail services. The CSR applies practical knowledge of practice processes and services, the basic rules and regulations governing visitors and animal patient treatment, and veterinary record requirements and terminology to ensure every patient is well-cared for and every client has an exceptional experience.

Essential Responsibilities
- Leads practice opening and closing procedures per Practice Manager instructions and practice procedures.
- Ensures all public areas are clean and presentable for patients; cleans and straightens areas including the front desk, reception area, waiting area, office, public bathroom(s) and exam rooms.
- Processes cash, checks, charge card payments and credit account payments.
- Schedules appointments for the clinic adhering to practice and Doctor preferences and ensure appropriate workflow.
- Assists in the updating of client/patient files, as needed.
- Prepares and sends client correspondence.
- Sends reminder notices to clients for periodic notifications; conducts re-calls to clients on a timely basis from a call back list.
- Performs a backup of the computer system on a regular basis, as directed.
- Performs and oversees the performance of posting daily business.
- Welcomes clients and patients to the practice with a warm and friendly demeanor and ensures an excellent experience during the practice visit.
- Answers incoming telephone calls applying proper telephone etiquette.
- Presents clients with medications, instructions, new client kits and any other take home items.
- Handles emergency situations with great care, patience, and following established clinic policies and procedures.
- Addresses client concerns in a calm appropriate manner, ensuring every experience ends in satisfaction.

Veterinary Technician
Position Purpose
Reporting into the Practice Manager/Managing Doctor (DVM), the Head Veterinary Technician performs a critical role in providing high quality care for patients. Technicians directly impact Doctor’s efficiency and client service. Technicians are key partners to the Doctor’s providing the appropriate support to ensure each client interaction and procedure is seamless and successful. Technicians apply their professional skills in anesthesia, surgery, dentistry, laboratory testing, patient nursing, and client education.

Essential Responsibilities
- Assist veterinarians in the practice of veterinary medicine and surgery and other tasks as needed.
- Assist veterinarians in outpatient exams by taking histories, vital signs and weights as well as providing client education.
- Monitor vital signs.
- Collect and prepare samples; obtain blood, stool, and other samples.
- Perform in-hospital lab testing and prepare specimens for outside labs.
- Accurately position patients for radiographs; take x-rays.
- Prepare animals for surgery.
- Perform dental procedures.
- Provide emergency first aid.
- Provide basic animal handling and restrain animals during exams.
- Administer and monitor medications, anesthesia, vaccines, and treatments prescribed by a veterinarian.
- Assist in maintenance of practice equipment.
- Maintain cleanliness of surgery suite, treatment area and exams rooms for all surfaces.
- Support DEA compliance as it relates to veterinary technician role.
- Any other duties as assigned.
Requirements / Qualifications
- High school diploma or equivalent
- Associate’s degree in applied science, veterinary technology is preferred
- State license to work as a certified/licensed/registered veterinary technician in state of Texas is preferred
- Ability to lift patients and carry equipment up to 25 pounds; ability to lift patients or carry equipment over 25 pounds with assistance
- Practices OSHA safety techniques including proper PPE

Veterinary Assistant
The Veterinary Assistant is a skilled position requiring a degree or experience in veterinary science. This position requires the ability to exercise judgment and discretion, be self-motivated and possess effective written and verbal communication skills. This position requires expertise in assisting Veterinarians and Veterinary Technicians in daily practice.
The Veterinary Assistant reports to and works under the direct supervision of the licensed Veterinarians, the Team Lead, and the Practice Manager. The Veterinary Assistant is responsible for following all directions given by Veterinarians during the course of daily procedures. Compassionate patient care is the foremost responsibility of the Veterinary Assistant.
The Veterinary Assistant performs the following duties:
- Stays in constant communication with their assigned DVM throughout their shift.
- Checks-in patients for surgery, anesthesia, and other services and verifies current contact information.
- Prepares patients for procedures.
- Applies a muzzle safely when indicated.
- Handles, holds and restrains animals to avoid bites or scratches to themselves, clients and to attending Veterinarian.
- Handles and restrains pets for examinations, procedures and treatments.
- Performs nail trims, basic ear cleaning and safely applies eye and ear medications.
- Performs hand pilling and administers liquid oral medications.
- Evaluates mucous membrane color and capillary refill time.
- Collects urine samples and runs SNAP tests (4-ways, Felv, cPL, etc).
- Double checks prescription labels.
- Recognizes appropriate vaccines and reconstitutes them as needed.
- Rooms patients and clients and takes a brief history regarding immediate concerns for the pet’s health.
- Records TPR’s, a brief history, patient status, anesthesia notes, medications given, treatments, etc.
- Helps check patients that had routine surgery the day before.
- Regularly monitors patients in the clinic, checking each hospitalized patient as frequently as needed.
- Cleans up after each procedure and keeps the exam rooms, treatment area and surgical suite clean.
- Cleans and sterilizes instruments and packs.
- Adds supplies to the needs list that need to be re-ordered.
- Keeps various areas of the clinic stocked with supplies.
- Monitors ICU, hospitalized and isolation patients.
- Communicates clearly with the doctor regarding real-time anesthesia concerns.
- Helps take and record radiographs.
- Fosters a healthy relationship with co-workers, keeping a positive, professional attitude, abstaining from gossip or negative talk regarding clients or other team members.
- Has a general knowledge of meds and routes of administration.
- Provides general nursing care to patients.
- Discharges patients and covers basic information with the pet owner regarding routine procedures and covers homecare instructions.
- Ensures that the patient is in a medically appropriate state, well-groomed and looking good before discharge.
- Assists the team with call backs and post-procedure updates.
- Assists with cold laser therapy.
- Is responsible to check in with assigned DVM and oncoming technician at the end of every shift to ensure all their tasks have been completed before leaving.
- Is able to perform all job duties of a Kennel Attendant (refer to
- Kennel Assistant Job Description).
- Assists other staff members when needed, keeping a “team” mentality and is willing to offer assistance and ask for assistance when needed.
The Veterinary Assistant shall carry out other duties as assigned by the Team Lead and Practice Manager.
The Veterinary Assistant will need to be on site to perform job duties unless otherwise directed by the Practice Manager.
The Veterinary Assistant position is that of an “At Will Employee”. This position has a six (6) month initial period during which the employee will be evaluated for continuation of employment.
Subsequent evaluations of job performance will be completed annually; such evaluations shall be used to determine merit pay increases. As a condition of employment, the Veterinary Assistant will accept direction from the Practice Manager and Team Lead and will refrain from behavior contrary to maintaining the integrity and orderly operation of Animal Care Clinic. Integrity, honesty, and truthfulness in the performance of all job duties are requirements of this position.
Kennel Assistant
The Kennel Attendant is an hourly position requiring experience in personal care of animals of various species. This position requires the ability to exercise judgment and discretion, be self-motivated, and possess effective written and verbal communication skills.
The Kennel Attendant reports to and works under the direct supervision of the Team Lead.
The Kennel Attendant performs the following duties:
- Provide daily care to boarded animals.
- Clean cages and runs.
- Launder blankets and towels.
- Feed and water pets, making sure pets have free access to fresh water at all times.
- Note if pets are eating or drinking.
- Contact a vet on-site if a pet appears ill or sickly.
- Let dogs outside in the fenced area.
- Transport cats and other species in an appropriate pet carrier.
- Monitor behavior of boarded pets.
- Inspect pets for cleanliness before they go home.
- Send home all belongings at pick-up.
- Bathe dogs that have been boarded for an extended period.
- Interact with clients as they drop-off and pick-up pets.
- Demonstrate kindness to pets and clients.
- Help handle and restrain pets for procedures as needed.
- Maintain and clean the clinic and premises.
- Work irregular hours including but not limited to; early mornings, evenings, weekends, holidays, and split-shifts.
- Safely handle pets that may be stressed due to their being in an unfamiliar environment.
- Follow safety protocols for self as well as the pet when pet is deemed a bite risk.
- Note irregular defecation/urination of pets.
- The Kennel Attendant shall carry out other duties as may be assigned by the Team Lead.
